The Preservation Resource Center is looking for a talented Events Coordinator to join our team.

The Event Coordinator assists in planning, overseeing, and executing events produced by the Preservation Resource Center, including fundraisers and educational programs. The Events Coordinator reports to the Director of Development, but will also work closely with the Communications Department and the Conservation and Education Department, depending on the type of event.

 

Duties and Responsibilities:
  • Spearhead the development, research, goal setting, design, coordination, day-of execution and post-event evaluation for all events and public programs presented by the Preservation Resource Center, including:
    • Home tours
    • Galas, patron parties
    • Donor receptions
    • Educational programs
    • Happy hours
    • and more as needed
  • Be creative and willing to explore new ideas for fun, educational and engaging public programming for the PRC
  • Help plan and coordinate the set-up and take-down of signage, tables, and other supplies, assist with volunteer coordination, organize refreshments, and coordinate member check-in and clean up
  • Work with the Accounting Department to ensure the timely payment of vendors and event-related invoices and track expenses
  • Assist with the organization, management and engagement of event committees as needed
  • Follow-up with thank-you gifts and thank-you notes to homeowners, committee members and volunteers as needed
  • Understand how events and educational programs engage members and the public with the PRC
  • Assist in devising budgets, scouting venues, and getting quotes from vendors and service providers.
  • Assist in securing necessary permits and licenses, as applicable
  • Act as point person for PRC staff and outside vendors for all events
  • Coordinate PRC staff schedule and responsibilities for all events
  • Engage with the Communications staff to help with marketing and promotion of events as needed.
  • Work at all events, including setting up, operating the event and helping to take down and assist in the cleanup.

 

Qualifications and skills:
  • Bachelor’s degree required
  • Minimum three years of experience in event planning
  • Exceptional written and oral communications skills and attention to detail
  • A team player with a goal-oriented approach
  • A self-starter who can work well independently
  • Strong organizational and time-management skills. Ability to set and meet deadlines.
  • Sensitivity to the needs of diverse constituencies
  • The ability to represent the Preservation Resource Center in a professional and positive manner
  • Must embrace the mission of the Preservation Resource Center

 

Working Conditions and Physical Requirements:
  • This job requires regular evening and weekend work, and work in off-site locations, including construction sites.
  • Applicant must have reliable transportation
  • Applicants should be able to walk or stand for long periods of time and lift 25 pounds or more.
